Afternoon/Evening Reception Staff (part-time)
Two reception staff are required for our offender Management suite in Gloucester
Working hours:
Role 1 Mondays and Tuesdays 3pm-9pm, Wednesdays and Thursdays 5pm - 9pm (20 hours per week)
Role 2 Monday to Thursday 5pm - 9pm (16 hours per week)

Job Purpose
To provide an efficient and effective afternoon/evening reception function to Gloucestershire Probation's offender management suite, booking in offenders for meetings/training events, monitoring CCTV and general administrative tasks
The role of Receptionist, must be carried out within the context of the value system and policies of the National Offender Management Service and the Gloucestershire Probation Service.

Main Duties
1.To act as the first point of contact for visitors specific to GPT and to receive and deal with queries via incoming telephone calls (including victims and families), passing on as appropriate.
2.To facilitate the effectiveness of the offender management service through the provision of clerical and administrative support to operational staff using IT applications and equipment including word processing, databases, spreadsheets, e-mail and templates.
3. To liaise with other agencies and Probation Staff, communicating by telephone, face to face, or in writing including by fax and e-mail.
4. To organise travel arrangements for offenders as required and deal with any transport queries.
5. To open and distribute incoming mail and ensure outgoing mail is prepared on a timely basis for collection/delivery to post box.
6. To monitor and maintain room bookings systems via the relevant databases and undertake basic meeting room housekeeping.
7. To arrange for the maintenance of office machinery and alerts to building issues as required.
8. Scanning documents as required.
9. Reconciling the daily imprest and replenishing the float tin.
10. To develop own knowledge and performance, reflecting on and evaluating own values, priorities, interests and effectiveness and attending training as appropriate.
11. To contribute to the development of effective teamwork, e.g. ensuring timely communication including liaising with collegues regarding visitors to reception and completing a daily handover.
12. To maintain Health and Safety in the workplace e.g. monitor visitors in the building, monitor CCTV, maintaining tidy interview rooms and offender kitchen areas.
13. To have due regard for own Health and Safety avoiding endangering colleagues or members of the public and raising any Health and Safety issues with the appropriate manager.
14. To promote equality, diversity and anti discriminatory practice.
15. To comply with the prevailing GPT Board policies and procedures.

The successful candidate will need to attend during the daytime for relevant training prior to commencement in role.
Employment is subject to a s atisfactory CRB check and subsequent 3 yearly re-checks
